Job Title: NYUAD Outreach Coordinator

IIE is partnering with New York University (NYU) to provide global outreach and screening services to identify highly talented undergraduates from around the world who will attend NYU’s new portal campus in Abu Dhabi, United Arab Emirates (UAE).  The partnership is centrally-coordinated out of the IIE/NY Headquarters Office and works with a team of outreach staff who are based in seven of IIE’s International Offices: Latin America, Europe, Russia, Ethiopia, Hong Kong, India, and Thailand. 

Purpose of Position:

The Outreach Coordinator will provide administrative and operational support to all functions of the NYU Abu Dhabi activities within the IIE European office, and in particular to global outreach activities and data tracking and reporting.  The Outreach Coordinator works under the daily supervision of the Outreach Officer(s) and closely with the IIE Office Director and the NYUAD central coordination team at IIE/New York.

Essential Duties and Responsibilities include the following:

  1. Updates shared database with regional outreach activity data. Responsible for ensuring that database is updated in a timely fashion and accurately.
  2. Assists with coordinating the planning and logistics for outreach events, including hotel contracts, flights, meals, cultural events, reimbursement of costs, and other general administrative items.
  3. Supports scheduling, travel arrangements, travel expense reporting for NYUAD outreach travel by Outreach Officer(s), Office Director and other staff as requested.
  4. Works with Outreach Officer(s) to assemble documents, photocopy and distribute materials in hard copy and electronically.
  5. Handles the in-region shipment of all outreach materials, tracks materials inventory, and coordinates requests for additional materials. Organizes and archives program materials, files, and photos.
  6. Handles general external inquiries by phone or e-mail.
  7. Processes payments to vendors, processes expense reports and other financial duties as assigned.
  8. Contributes to global outreach planning through research, materials preparation, distribution and logistics.
  9. Assists the Outreach Officer(s) with website updates and monitoring.
  10. Responsible for complying with applicable contract and sponsor requirements and internal policies and procedures.
  11. Performs other duties and functions as assigned.

 

Education/Experience/Skills Required:

  1. Undergraduate degree; one-two years of administrative experience
  2. Excellent proficiency with technology, especially word processing, databases and spreadsheets.  Website experience, including use of webinar technology a plus.
  3. Excellent writing skills and attention to grammar and punctuation.
  4. Ability to organize and process a heavy workload and constantly changing priorities and tasks under strict deadlines.
  5. Consistently follows-up on tasks, takes ownership of responsibilities and able to effectively work on multiple tasks.
  6. Professional and mature, can interface with multiple audiences.
  7. Ability to focus on detail and a strong commitment to quality.
  8. Excellent interpersonal and communication skills.
  9. Cross-cultural sensitivity, international awareness, experience, perspective and ability to work cooperatively with others.
  10. Strong judgment and ability to independently problem solve.
  11. Strong English-language skills.
  12. Ability and willingness to travel within designated local region, and possibly internationally, if requested.
  13. Knowledge of contact databases and CRM systems a plus.
