About MDAC

The Mental Disability Advocacy Center (MDAC) is an international human rights organisation which advances the rights of children and adults with intellectual disabilities and psycho-social disabilities. MDAC uses law to promote equality and social inclusion through strategic litigation, advocacy, research and monitoring and capacity-building. MDAC operates at the global level as well as regional and domestic levels in Europe and Africa.
MDAC is headquartered in Budapest, Hungary and was registered as a foundation by the Budapest Capital Court (registration number 8689) in November 2002. The Open Society Foundations (OSF) founded MDAC and continues to be one of its donors. MDAC has special consultative status with the United Nations Economic and Social Council, participatory status with the Council of Europe and is a member of the Fundamental Rights Platform of the EU Agency for Fundamental Rights.

Job description

Job title: Office Assistant

Reports to:

Project Manager (Access to Justice)
Finance and Administration Director
Executive Director

Liaises with: MDAC staff, consultants and partners

Working hours: 40 hours per week

Goals:
50% of time: provides logistical, administrative and other necessary support to the European Commission-funded project Access to Justice for Children (A2J project)
50% of the time: provides logistical, administrative and other support to the Finance and Administration Director and other programmatic staff

A2J Project Assistance

  • Provides logistical support for A2J project meetings and events, meetings and other events (books flights, transfers, accommodation, etc.);
  • Liaises with partners in administrative and logistical issues; and
  • Files A2J project documentation in compliance with contractual obligations; and
  • Carries out any other duties required by the Project Manager (Access to Justice).

Administrative Assistance

  • Provides programmatic staff with administrative assistance to their work (e.g. organising meetings, creating and formatting documents);
  • Assists staff and consultants with work and resident permits, taxation, healthcare and related issues;
  • Acts as contact point for the occupational healthcare service provider;
  • Ensures that administration files are kept up-to-date and in order;
  • Answers the door and greets guests;
  • Manages central phone, takes and passes on messages;
  • Registers incoming mail and distributes them to staff;
  • Sets up and services meetings;
  • Ensures that office equipment is serviced and in working order;
  • Supervises the cleaner(s) to ensure that the office is cleaned appropriately;
  • Scans, photocopies, binds and prepares documents as instructed;
  • Orders/purchases goods and services as instructed;
  • Runs errands as required, e.g. to the post office; and
  • Carries out other tasks as required by the Finance and Administration Director.

Executive Assistance

  • Acts as Personal Assistant to the Executive Director, arranging his/her travels, scheduling meetings etc

Qualifications
High school diploma

Work Experience
One year work experience in an office environment

Personal attributes and skills

  • A passion for human rights;
  • Excellent organisational skills;
  • Thrives on multi-tasking in a fast-paced environment;
  • Hands-on mentality, proactive and ability to work independently;
  • Computer literate with excellent knowledge of Excel, Word and Internet search engines;
  • Proficiency in English and Hungarian language.
